1. Overview

This Privacy Policy explains how WorkTwins collects, uses, stores, shares, and protects information.

WorkTwins is an AI-powered SaaS platform for worker matching, team compatibility, and collaboration insights. It currently focuses on developers and computer-related workers, including QA, DevOps, data, AI/ML, IT support, cybersecurity, product, and technical operations. Future versions may support other categories of workers, including physical and field-based workers.

WorkTwins provides SaaS-based compatibility insights and collaboration recommendations. WorkTwins does not make final employment decisions. All hiring, employment, contracting, compensation, promotion, discipline, firing, and other employment-related decisions remain the responsibility of the relevant company and must include human review.

WorkTwins does not guarantee employment, job placement, interviews, candidate availability, hiring outcomes, or hiring speed.

2. Information we collect

WorkTwins may collect or process the following categories of information, depending on the features used and the account settings selected.

Account information

  • name;
  • email address;
  • authentication identifiers;
  • profile settings;
  • company, workspace, or team affiliation;
  • support preferences.

Worker profile information

  • worker profile details;
  • skills, technical background, role interests, and availability signals;
  • portfolio, professional links, or other profile information supplied by the user;
  • visibility and discovery settings.

Company profile and company page information

  • company name, description, website, location, and contact details;
  • public or internal company page content;
  • company workspace settings;
  • administrators, team members, and permissions.

Team profile and hiring project information

  • team profiles;
  • hiring project details;
  • target roles, skills, collaboration needs, and team composition signals;
  • candidate shortlists, notes, reports, and comparison settings.

Work-related technical signals

Where enabled or connected by the user, WorkTwins may process work-related technical signals such as:

  • tools, languages, frameworks, or systems used;
  • workflow categories and task patterns;
  • problem-solving and collaboration patterns;
  • timestamps and activity metadata;
  • GitHub or other professional/digital activity signals;
  • WorkFootPrint data, if enabled;
  • derived work-signal summaries, compatibility vectors, or limited explanations.

WorkTwins is designed to focus on work-related signals and to minimize raw work data where possible.

Compatibility information

WorkTwins may generate:

  • compatibility vectors;
  • match scores;
  • confidence indicators;
  • reports and explanations;
  • worker-to-worker analysis;
  • worker-to-company analysis;
  • worker-to-team analysis;
  • team-to-candidate analysis;
  • team-to-team analysis;
  • group compatibility analysis.

Communications and support information

We may process communications, support messages, feedback, account requests, and related metadata.

Billing and customer data

Payments, subscriptions, taxes, invoices, and payment methods may be processed by Paddle, acting as merchant of record or payment processor for WorkTwins purchases where applicable. Paddle may collect and process payment and billing information under its own legal terms and privacy policy.

WorkTwins does not store full payment card details. Paddle may handle taxes, invoices, receipts, subscription billing, payment method updates, cancellations, and refunds. Customer billing information may be shared between Paddle and WorkTwins as needed to provide the service, manage subscriptions, comply with tax/legal obligations, and provide support.

Technical data

We may process technical data such as IP address, device type, operating system, browser, log data, cookies, analytics events, approximate location, security events, and service diagnostics.

3. How we use information

WorkTwins uses information to:

  • create and manage accounts;
  • create and display worker profiles;
  • create and manage company pages, company workspaces, team profiles, and hiring projects;
  • provide worker-to-worker, worker-to-company, worker-to-team, team-to-candidate, team-to-team, and group compatibility analysis;
  • generate compatibility reports, explanations, recommendations, and dashboards;
  • operate, maintain, secure, and improve the service;
  • provide customer support and respond to requests;
  • process subscriptions, billing, taxes, invoices, cancellations, and refunds;
  • prevent fraud, abuse, misuse, and security incidents;
  • comply with legal, tax, accounting, and regulatory obligations.

Compatibility outputs are decision-support insights only and require human review. WorkTwins does not make final employment decisions.

4. How we do not use information

WorkTwins does not:

  • sell work data;
  • use work signals for advertising;
  • use work signals for cross-context behavioral advertising;
  • provide employee surveillance feeds;
  • make final employment decisions;
  • replace human review for hiring, employment, contracting, compensation, promotion, discipline, firing, or similar decisions.

Where possible, WorkTwins minimizes raw work data and may use derived signals, compatibility vectors, aggregated summaries, or limited explanations.

5. What other users and companies may see

Other users, companies, teams, or workspace administrators may see information that is visible under the relevant profile, workspace, permission, or sharing setting.

Company-visible outputs may include compatibility scores, reports, explanations, recommendations, team composition insights, shortlist information, and profile information made available through the service. Company customers are responsible for using those outputs lawfully and with human review.

6. Legal bases

Where applicable, WorkTwins relies on legal bases including:

  • contract, to provide accounts, subscriptions, profiles, workspaces, matching tools, reports, and support;
  • legitimate interests, to operate, secure, improve, and prevent misuse of the service;
  • consent, where required for optional connections, cookies, analytics, marketing, or specific work-signal processing;
  • legal obligation, to comply with tax, accounting, billing, regulatory, dispute, and law-enforcement obligations.

7. Sharing information

WorkTwins may share information with:

  • service providers that host, operate, secure, analyze, or support the service;
  • Paddle for payments, subscriptions, taxes, invoices, receipts, payment method updates, cancellations, refunds, fraud prevention, and billing support;
  • professional advisers, auditors, insurers, and legal providers;
  • authorities or third parties where required by law or necessary to protect rights, safety, security, or service integrity;
  • companies, teams, or users as directed by product settings, permissions, account configuration, or user action.

We do not sell work data.

8. International transfers

WorkTwins may process information in countries other than the user’s country of residence. Where required, WorkTwins uses appropriate safeguards for international transfers, such as contractual protections or other lawful transfer mechanisms.

9. Data retention

We keep information only as long as needed for the purposes described in this policy, unless longer retention is required by law, accounting rules, tax obligations, dispute resolution, security, or legitimate business needs.

Retention periods may vary by data type, account status, workspace settings, subscription status, legal obligations, and deletion requests.

WorkTwins uses technical and organizational safeguards designed to protect information, including access controls, encryption in transit, security monitoring, data minimization, and administrative controls. No system is perfectly secure, and users are responsible for maintaining the security of their own credentials and devices.

11. User rights
